This policy explains how Topdoerr Inc Corporation, trading as topdoer.ai ("topdoer.ai", "we", "us"), handles personal information on our website, in our accounts, and in the voice agent service. Contact us at hello@topdoer.ai.
Two roles
- Website visitors, leads and account holders. For the information you give us on our site or in your account, we decide how it is used, and this policy applies to us directly.
- People who call or text a business that uses topdoer.ai. The business is in control of that information. We process it for the business to run its voice agent. If you are a caller and want to see or delete your information, ask the business first. If you write to us, we will help route your request to them.
Information you provide
- On our website and in demos: name, work email, phone number, company, industry, website, and details about your workflow.
- In your account: sign-in details, your organization's profile, phone numbers you verify or add, agent instructions, files, knowledge sources and contact records you upload, and your settings.
- Payments: handled by Stripe. We receive billing details such as plan, status and the last digits of a card. We do not receive or store full card numbers.
- Messages to us: the content of emails and forms you send, and our replies.
Calls, texts and conversations
When a business turns on voice or messaging, the service can process call and message details, audio, transcripts, recordings, outcomes, and usage information. The business decides what to enable, including recording, and is responsible for the notices and permissions its callers need. Agents are AI, and we design them to collect only the information a conversation needs.
For healthcare deployments, we process protected health information under a signed Business Associate Agreement (BAA).
Voice demos on this site. When you start a demo call, your browser asks for microphone permission and connects to our voice provider so you can talk with a demo agent. Do not share sensitive personal information in a demo.
Information collected automatically
- Essential: hosting, security and sign-in systems process your IP address and basic browser and device information so the site loads and stays secure.
- Measurement, only with your consent: if you accept analytics, we record which pages and buttons are used and the steps of signup, using a random session identifier. See the Cookie policy. If you decline, we do not run analytics.
How we use information
- To provide, secure, support and bill for the service, including verifying your phone number.
- To respond to your requests, including follow-up you ask for.
- To improve the site and the product, using measurement you have consented to and the information about how the service performs.
- To send marketing messages only where you have chosen to receive them. You can opt out at any time.
- To meet legal obligations and to protect against fraud and misuse.
We do not sell personal information. We do not run third-party advertising trackers on this site.
Who we share information with
- Service providers that help us run the service, for example hosting, database and sign-in, voice, phone and messaging, payments, email, customer records, and analytics. See the subprocessor list. Voice, speech and language-model providers that run a customer's agent process call audio, text and transcripts to provide the service.
- The business you called, when you contact a business that uses topdoer.ai.
- Authorities and advisers, where the law requires it or to protect rights and safety.
- A buyer or successor, if we are part of a merger, acquisition or sale of assets. We will tell you if your information becomes subject to a different policy.

How long we keep information
We keep information while an account is active and as long as needed to provide the service. When you or the business ask us to delete information, we delete or de-identify it within 30 days of a verified request, except where the law requires us to keep it, for example billing and tax records, or where we need it to resolve a dispute or keep the service secure. Copies in backups are removed in the normal backup cycle. To ask, email hello@topdoer.ai.
Security
We use encryption in transit and at rest, access limited by organization and role, and an audit trail. No system is perfectly secure, and we cannot guarantee absolute security.
Your choices and rights
Depending on where you live, including California, the European Economic Area, the United Kingdom and other regions, you may have the right to access, correct, delete or export your personal information, to object to or restrict some uses, to withdraw consent, and not to be treated unfairly for using these rights. To make a request, email hello@topdoer.ai from the address linked to your account or contact, and include enough detail for us to identify you. We may need to verify your identity. We respond within the time the law requires. You can also complain to your local data protection authority.
You can opt out of marketing emails and texts using the link or by replying STOP, or by writing to us.
Text messages
If you opt in to texts from topdoer Alerts, we send messages you asked for, such as follow-up on a request you made on our site. Reply STOP to unsubscribe or HELP for help. Message frequency varies, and message and data rates may apply. We do not share mobile numbers or opt-in consent with third parties for their marketing. See the Terms of service.
Children
Our services are for businesses and are not directed to children under 16. We do not knowingly collect personal information from children.
International processing
We operate in the United States, and information is processed in the United States and in other countries where our providers operate. Where the law requires it, we use contractual safeguards for international transfers. To request a data processing agreement, see DPA requests.
Changes
We will post changes to this policy on this page with a new date. If a change materially affects how we use personal information, we will give you notice in a way that is reasonable for the change.
